INTELLNIX
Privacy Policy
Last updated: 26 October 2026
This policy explains how Intellnix (“we”, “us”) collects, uses and protects personal data when you visit intellnix.com, write to us, or contact us through our pages and accounts on Facebook, Instagram, WhatsApp, Telegram or by email.
1. Who is responsible
Intellnix is responsible for the personal data described here. For any privacy question or request, write to administration@intellnix.com.
2. What we collect
- Contact details you give us: name, company, email address, phone number.
- Your messages: what you write to us by email, chat, WhatsApp, Messenger, Instagram Direct or Telegram, and our replies.
- Platform identifiers: the ID, name or username the platform shares with us when you message us or comment on our Facebook Page or Instagram account (for example your WhatsApp number or your Facebook or Instagram user ID).
- Public comments you leave on our Facebook Page or Instagram posts.
- Business information needed for a project, proposal, contract or invoice: company name, address, tax ID, project details.
We do not ask for sensitive data (health, religion, political opinions and similar). Please do not send it to us.
3. How we use it
- To answer your questions and continue the conversation, in your language, on the channel you chose.
- To recognise you when you contact us on another channel, so you do not have to repeat yourself.
- To prepare proposals, contracts and invoices, and to deliver and support our services.
- To manage our social media pages, including replying to comments.
- To keep our records and meet legal and accounting obligations.
We do not sell your personal data, and we do not use data received from Meta platforms (Facebook, Instagram, WhatsApp) for advertising profiles or share it with data brokers.
4. AI assistance
We use AI assistants to read incoming messages and prepare replies, proposals and other documents. Your messages may therefore be processed by third-party AI model providers acting on our behalf, only to produce our answer. Proposals, contracts, invoices and public replies are reviewed and approved by a person at Intellnix before they are sent or published.
5. Legal bases (EU / UK visitors)
We process personal data to take steps at your request before a contract and to perform a contract; for our legitimate interest in answering enquiries and running our business; to meet legal obligations; and, where required, with your consent, which you can withdraw at any time.
6. Who we share it with
Only with service providers who help us run our business, under their own privacy and security commitments:
- Messaging platforms you choose to use: Meta Platforms (Facebook, Messenger, Instagram, WhatsApp) and Telegram.
- Our hosting and email providers, which store our systems and mailboxes.
- AI model providers that process messages to help us write replies (see section 4).
- Professional advisers (for example our accountant) and authorities when the law requires it.
Some providers may process data outside your country. Where required, we rely on appropriate safeguards such as standard contractual clauses.
7. How long we keep it
We keep conversations and contact details while we are in contact with you and for up to 24 months after the last contact, unless you ask us to delete them sooner. Contracts, invoices and accounting records are kept for as long as the law requires.
8. Your rights
You can ask to access, correct or delete your personal data, to receive a copy of it, to restrict or object to its processing, and to withdraw consent. Write to administration@intellnix.com; we answer within 30 days. You can also lodge a complaint with your local data protection authority.
To delete the data we received through Facebook, Instagram or WhatsApp, see our data deletion instructions.
9. Security
Access to our systems is limited to authorised people, connections are encrypted (HTTPS), and stored secrets are encrypted.
10. Cookies
intellnix.com does not use advertising or analytics cookies. The site loads its fonts from Google Fonts, which receives your IP address to deliver them.
11. Children
Our services are for businesses and are not directed to children under 16.
12. Changes
We may update this policy. The date at the top shows the latest version.
